Job Description (Roles and Responsibilities)  

Main purpose of job:

Provide support to front desk and general administrative duties

Roles and responsibilities:

  • Operate the Embassy’s switchboard; Deal with general enquiries from the public either in person, on the telephone or by e-mail; deal with visitors at reception,
  • Support Corporate Services Team updating spreadsheets and help with admin work
  • Organise and control the stationery
  • Distribute Mail  and circulate official newspaper and magazines
  • Update reference, telephone, RSVP and other lists
  • Organise, lock and secure Reception areas
  • Carry out other ad hoc duties as necessary
Desirable qualifications and experience  

Desirable:  Previous experience in working for a diplomatic mission is an advantage

Essential qualifications and experience  

Essential on arrival:  University level educational/degree or ongoing studies. He/she should ideally have experience in working for a medium to large organisation in customer service activities. He/she should possess an excellent command of written and spoken English and Portuguese with strong organisational, communication, customer service, team-working and IT skills.
